Stand Plan Submission

Overview 

All Exhibitors with Space Only stands must submit detailed stand plans for independent inspection to confirm compliance with the requirements set out in this Event Manual and with the applicable building and safety regulations. 

Exhibitors are responsible for ensuring that their appointed stand designers and contractors fully understand and comply with the requirements of this Event Manual and all applicable legal and regulatory requirements. 

The complete stand plan submission includes: 

  • Detailed stand plans and designs;

  • Safety Risk Assessment;

  • Method Statement;

  • Double Deck Health & Safety Form, where applicable; and

  • Waste Removal Information. 

Stand plans and Waste Removal Information must be submitted through the Abraxys Plan Upload Platform. The remaining safety documents are available in the Forms & Deadlines section of this Event Manual. 

Submission of all mandatory plans and safety documents is a condition of obtaining Permission to Build. 

Once all required plans and documents have been received and the applicable reviews and approvals have been completed, a Permission to Build Certificate will be issued. 

Digital Contractor Passes associated with a stand will not be activated until the Permission to Build Certificate has been issued. 

Abraxys Ltd is the official Stand Plan Inspection Agency. Abraxys will review the submitted plans and documents, coordinate any additional structural review required and supervise the on-site build to verify that stands are constructed in accordance with the approved plans. 

The submission deadline for all required plans and documents is Monday 23 November 2026.

Submission Process

Fully detailed and scaled plans and designs must be submitted for: 

  • all Space Only stands; and

  • all meeting rooms incorporating a custom-built structure. 

All plans must be in English and must include, as a minimum: 

  • technical drawings at a scale of 1:50;

  • Event and Venue details, including the stand number and hall number;

  • all relevant dimensions clearly marked in metric units;

  • plan and elevation drawings, together with a visual representation of the stand;

  • details of all materials to be used, together with all required certificates;

  • an electrical plan;

  • an evacuation plan showing all required smoke detectors, escape route signage and fire extinguisher locations;

  • full details of all rigging requirements and suspended elements;

  • the height of all elements, including the measurement of the highest point;

  • vision panels in all storage and meeting room doors;

  • confirmation that storage and meeting room doors adjacent to an aisle do not open onto the aisle;

  • confirmation that doors to storage or meeting rooms located away from an aisle open outwards from the room but remain entirely within the stand space and do not open onto a gangway;

  • fixing details for suspended or cantilevered sections of the stand, including any suspension wires;

  • details of all floor coverings, together with all required certificates;

  • the height and materials of all platforms, together with details and dimensions of any wheelchair access ramps;

  • confirmation that all platform corners are rounded and that platform edging prevents the floor covering from lifting away from the platform;

  • details of any large or heavy equipment and how it will be secured, including details of any secondary fixings; and

  • details of how the top of the stand will be finished. 

The plans must also demonstrate compliance with all applicable requirements in the Stand Construction Regulations section of this Event Manual and with all applicable local building and safety regulations. 

Photographs, hand-drawn plans, faxed drawings and drawings prepared for other events will not be accepted. 

Upon receipt of the detailed plans and designs, Abraxys Ltd will determine whether the proposed structure is non-complex or complex. 

Complex structures require additional review and approval by Graó Tècnic, the Venue’s official Structural Engineers. 

Abraxys Ltd will forward the relevant plans to Graó Tècnic. Graó Tècnic may then contact the Exhibitor or appointed contractor directly regarding the structural review. 

Abraxys Ltd will coordinate the applicable reviews and approvals and will issue the Permission to Build Certificate once all requirements have been completed. 

Complex Structures 

A complex structure is any form of construction, of any height, that would normally be designed by an engineer or that has been identified through a risk assessment as presenting a significant risk. 

For this Event, complex structures include: 

  • double deck or two-storey stands, including structures incorporating underpasses or staircases; 

  • complex suspended structures as defined in the Rigging regulation;

  • platforms and stages over 50cm in height;

  • platforms and stages incorporating staircases;

  • all outdoor structures, due to their potential exposure to adverse weather conditions;

  • raised areas, including raised seating areas, positioned above the general height of the floor or platform;

  • machinery or other heavy elements displayed above ground level, including machinery mounted on a frame or supporting structure;

  • tiered or grandstand-style seating; and

  • stands larger than 100m², due to local requirements relating to escape routes. 

Outdoor structures must be designed to withstand wind speeds of up to 100km/h. 

The requirements applicable to complex structures are rigorous. All construction must comply with the Spanish Building Regulations, CTE (Código Técnico de la Edificación).

All complex structures and complex suspended structures must obtain a formal Certificate of Stability from Graó Tècnic, the Venue’s official Structural Engineers. 

The Certificate of Stability is subject to an associated cost, which will be communicated to the Exhibitor by ServiFira. 

The descriptions above are provided as guidance and cannot be comprehensive due to the nature of the applicable regulations. 

The decision as to whether a proposed stand or installation is classified as complex rests with the Venue, the Structural Engineers and Abraxys Ltd. The determination is guided by applicable exhibition regulations and local legislation and is final. 

The Organisers, the Venue and the official Structural Engineers reserve the right to request structural calculations or additional approvals for any structure at the Event, either before the Event or on-site. Any associated costs are the responsibility of the Exhibitor. 

Additional Documentation for Complex Structures 

In addition to the requirements applicable to all stand plan submissions, plans for a complex structure must include: 

  • distribution plans for both levels of the structure, where applicable and where not already included in the submitted documentation; and

  • full structural calculations for the principal structure. 

The structural calculations must include: 

  • calculations for all structural elements, taking into account the maximum permitted floor loading of the exhibition hall; 

  • details of how loads from pillars and any upper deck are transferred to the exhibition floor;

  • details of the maximum horizontal impact resistance of all walling and handrail elements, with a minimum resistance of 1kN/m;

  • for outdoor structures, details of wind stability based on a minimum of 0.52kN/m², corresponding to a wind speed of 100km/h, in accordance with the applicable Spanish Building Regulations, CTE;

  • for double deck structures, details of the fire resistance of all load-bearing elements;

  • for double deck structures larger than 500m², evacuation calculations for the upper level in accordance with the Spanish Building Regulations, CTE; and

  • the name, professional title, date and full contact details of the author of the calculations.

Complex Suspended Structures 

All suspended structures are considered complex structures and require load-distribution calculations and structural certification, except for: 

  • lighting trusses without cladding that use fewer than 10 rigging points; and

  • aluminium and fabric light banners with a maximum weight of 100kg per rigging point, including the weight of all lifting elements. 

Structural certification is not required only in these two cases. 

Exhibitors proposing a complex suspended structure must submit full calculations showing the load distribution for the suspended structure.
